| Search by file | The search function enables you to search for several references by entering their identifier or barcode. The search result is displayed in table mode, with all reference information (location, quantity, alert threshold, category, etc.). | 
| Advanced search | The advanced search function lets you perform multi-criteria searches on references and create customized filtered views. | 
| Filters & advanced filters | A group of criteria used to filter search results. For example, an Advanced Search uses a filter to sort the references displayed. | 
| Condition | Logical expression used to specify a filter with a criterion, for example by adding the following condition: the reference is a product. | 
| Criteria | Characteristic of a reference, such as its name, location or status. | 
| Table & List view | Selects the reference display mode. List mode displays the main reference information. It is not possible to change the display order or the information displayed. Data is sorted by Folder, then by Equipment and finally by Product. Table mode displays information by column. You can customize whether a column is displayed or not, and its position on the screen.  | 
| View | A view is the result of an advanced search where search criteria have been applied. It is only possible to modify the display of a view if Table mode is selected. | 
| Breadcrumb trail | The breadcrumb trail shows the user the location of the page displayed and where it is in the site tree. The breadcrumb trail makes it easier to navigate through the solution… The breadcrumb trail also enables you to: – Create folders or references – Export data from the displayed folder to Excel – Provide a shortcut for Excel import (creation or modification)  |

| Recipient | A recipient can receive references from K inventory output operations. It is identified by a name and contact details on the K inventory platform. | 
| User account | A user account enables a person to access K inventory and perform operations according to the rights and permissions he or she possesses. | 
| User groups | A user group allows you to group users together and assign them common access permissions and rights. On K inventory, rights are cumulative: a user who is part of a user group can gain rights, but not lose them.  | 
| Rights | A right is a permission to perform an action or access a resource on K inventory. A right can be assigned to a user or a group of users. | 
| Access permission | Condition allowing a user to access a feature or data on the K inventory platform. | 
| Reference association | In a defined stock, you can associate products and quantities with a specific make and model of equipment. From this stock, a stock removal operation involving the equipment entered generates operations on the associated products. | 
| Custom formulas | A formula is a custom field used to perform calculations and automatically update a field (e.g. number of days in stock, depreciation period). | 
MANAGING DATA |

| Folder | A folder represents a location that can contain references, and is used to organize the structure of the K inventory platform. | 
| Keywords | A keyword can be used to categorize a file according to one or more criteria. This makes it easier to understand the file’s function | 
| Product | A Product is a reference which is processed in quantity. A Product can be present in several folders of the solution and the barcode field is not mandatory. For example, a stock of several keyboards can be represented with a Product reference.  | 
| Equipment | Unlike products, Equipment is a unitary reference. Its identifier and barcode are unique in the platform. It may, for example, represent a laptop, which is identified by its serial number. For example, a stock of computers may be managed in equipment mode, where each piece of equipment represents a computer with its own identifier.  | 
| Category | A category allows you to group together references according to a common criterion. Categories optimize the organization of the platform’s structure and facilitate searches. | 
| History | A history lists all actions and modifications carried out on a reference. Each line in a reference’s history contains the following information: – The field concerned – The initial value – The current value – The modification date – The account that made the modification  | 
| Reference | A Reference represents a company asset on K inventory and is divided into two types: Products and Equipment. (see definitions of Products and References). | 
| Variant | A variant is a variation of a product with several options, such as color, size, etc. Each variant has its own quantity and barcode for each possible option. (See product definition). | 
| Alert threshold | The alert threshold allows you to be notified when the quantity of a product falls below a defined threshold. Notification can be made both on the platform and by e-mail.  | 
| Quantity & available quantity | Quantity represents the number of products in a file. Available quantity represents the number of products in stock, minus quantities reserved by users (for their own use, a project, etc.).  | 
| Location | The location indicates where a reference is stored. | 
| Reservation | A reservation is an action on a reference which identifies a future need (such as the completion of a project) over a defined period. Reservations made on a reference can be consulted in the Reservations tab of the reference file.  | 
| Field | A field is a text field used to enter information or data relating to a file or reference. | 
| Custom fields | A custom field allows you to add specific characteristics applicable to all your references. There are several types: – Text: allows you to enter a text in the field (e.g. the “used by” field) – Date: allows you to enter a date in the field (e.g. the “order date” field) – Price: allows you to enter a price in the field (e.g. the “maintenance price” field) – Drop-down list: allows you to choose a data item from among those proposed (e.g. the “color” field with 5 possible colors).  | 
| File Import / Export | Importing data enables you to create or modify references by entering information in an Excel file. Exporting data enables you to use information from references and files in an Excel-type format.  | 
| Quick update | A quick update allows you to update references en masse by modifying the value of some of their fields. These modifications are chosen by the user and can be configured when creating quick update forms. | 
| Quick update form | Quick update form templates allow you to select the fields that will be modifiable during quick reference updates. | 
| Quick actions | Quick actions are stock operations that can be accessed directly from the reference to be modified. | 
| Rotating inventory | Unit inventory carried out directly from a reference record. | 
| Entry/exit | An Entry/Exit is a quick action on stock that decreases/increases the quantity of a product. | 
| Move | Move is a quick action that modifies the location of a piece of equipment or a product. You can choose the quantity of a product to be moved. |

| Control | List of items requested from a supplier in order to add them to stock. One or more order acceptance tasks can be associated with an order. | 
| Supplier | A supplier has a list of items which it supplies and which can be used to place an order. | 
| Article | Reference model that can be added to an order. Items are supplier-dependent. |

| Inventory operation | A multi-stage operation designed to carry out an inventory on a selected perimeter. | 
| Stock removal operation | Multi-step operation to remove references from one or more stocks. | 
| Displacement intervention | Operation combining a stock removal and receiving operation to move several references from one location to another. Folders can also be moved. | 
| Start date | Start date of an intervention. | 
| End date | Scheduled end date of an intervention. | 
| Issue slip | Document automatically generated by a stock removal operation, used to track the removal of references. | 
| Order reception operation | Multi-stage operation associated with an order, enabling the physical reception of references. | 
| Out-of-stock actions | List of actions that can be carried out on references outside a storage perimeter (maintenance, destruction, etc.). | 
| Stock actions | List of actions that can be carried out on references within a storage perimeter (order reception, relocation, inventory, etc.). | 
| Inventory deviation | Measurement discrepancy between the value recorded during an inventory and the value entered in the reference record. | 
| Intervention report | Automatically-generated summary of the intervention’s progress, sent by e-mail when the intervention is completed. | 
| Tasks | A task is an action assigned to a user or group of users (e.g., defining the perimeter to be inventoried, or carrying out an order receipt) and which must be carried out by the said user or group. A task can also be an action carried out automatically by the solution (for example, updating data or sending an intervention report). |

| View Activities | An activity is an action carried out on the K inventory platform. The Activities module is a history of all updates made to: – References – Files – Interventions – Keywords and categories – Custom fields  | 
| View Transactions | A transaction is an input or output action on stock. The information linked to the action carried out is reported in the Transactions module: – References concerned – Recipient or File – Quantity concerned for a product – Comment (optional) – Date carried out – Person who carried out the stock entry or removal  | 
| Dashboards | A dashboard is a space that brings together graphics to visualize and monitor platform data. | 
| Graphics | Graphics are tools for representing platform data. They are available in the form of sectors, histograms, curves, etc. | 
| Period | A period is a defined interval of time between two dates. They can be used to select data at a specific point in time, and to view and compare data (number of inputs/outputs over two given time intervals). | 
| Personalized e-mails | It is possible to personalize and automatically send e-mails based on an action (e.g. as soon as an order is received) or in relation to a defined period (e.g. every Monday). Various documents can be sent: – graphs – customized views – intervention reports – …  | 
| Notifications | Notifications are messages sent to the user on the K inventory platform to inform him of a situation: – The quantity of a product falls below the alert threshold – The import of an Excel file – The execution of a quick update action  | 
READER | 
|
| Keyboard emulation | Keyboard emulation is a contactless mode of communication that simulates the input of information in the same way as a keyboard. It is therefore necessary to position the cursor on the field to be modified. The reader writes the barcode value directly into the selected field. | 
| Serial mode | Serial mode is a contactless mode of communication, with no need to position yourself on a particular field. Simply being on the page allows you to scan a barcode or QR code. | 
| RFID | RFID is a remote identification method using tags and readers. This technology makes it possible to identify several references at the same time and from a distance, facilitating stock interventions. | 
| Barcode | A symbol made up of bars and spaces, which can be scanned to obtain an alphanumeric code. This makes it quick and easy to identify stock references. | 
| QR code | The QR Code is a type of two-dimensional barcode made up of black modules arranged in a square with a white background. The arrangement of these dots defines the information contained in the code, making it possible to identify references. |
